This policy explains how Molar Pilot handles account, clinic, lead, appointment, communication, billing, and workflow data.

1. Information We Process
Molar Pilot may process clinic account details, team member emails, clinic profile settings, leads, missed-call entries, appointment requests, appointments, automatic workflow reminders, prepared messages, AI reply suggestions, manual communication records, and billing status.
2. How We Use Information
We use information to provide and improve Molar Pilot, authenticate users, secure clinic accounts, organize leads and appointments, generate reply drafts, manage communication workflows, process billing, provide support, and maintain audit or activity history.
3. Clinic Data Separation
Molar Pilot is designed so each clinic account only accesses its own clinic data. Access is controlled through authentication, role permissions, and database row-level security. Team members should only be invited when they are authorized to access that clinic's information.
4. AI Processing
When AI reply suggestions are generated, relevant lead, clinic, appointment, settings, and message context may be sent to the configured AI provider to produce a draft. AI drafts are suggestions only and should be reviewed by clinic staff before use.
5. Service Providers
We may use trusted providers for hosting, authentication, database storage, payment processing, email delivery, analytics, error monitoring, and AI generation. These providers process data only as needed to deliver Molar Pilot services.
6. Patient and Health Information
Clinics are responsible for determining whether information entered into Molar Pilot is subject to healthcare privacy laws and for using Molar Pilot in a compliant way. Avoid entering unnecessary sensitive clinical details into lead notes, prepared messages, or AI prompts.
7. Data Retention and Deletion
We retain account and workflow data while an account is active and as needed for legal, billing, security, support, or operational purposes. To request deletion or export support, contact leon@molarpilot.com.
8. Security
We use technical and organizational safeguards such as authenticated access, role-aware controls, row-level security, and server-side handling of sensitive API keys. No system is perfectly secure, so clinics should also use strong passwords and limit staff access.
